Revenues

Where this lives

Open Finances, stay on the Revenues app, and use the document type dropdown to switch between Invoices, Quotes, Purchase orders, and Credit notes without leaving the screen.

Screen layout (all four types)

Each type uses a split layout: a table on one side and a detail editor with a live PDF preview on the other. Click a row to load it in the editor (row clicks are suppressed while you have rows selected for bulk actions).

Save status reflects autosave on drafts. The preview can show the generated document or a custom PDF you upload; new drafts may start on the upload panel until you edit the form. Toggle generated / custom when both are available.

Line items show product, quantity, price, tax, and total. Hover the tax column to see which tax rule matched that line—or if a product override, exemption, or regional rate applied.

Lists, filters, and ordering

Search and column filters trim the list; use date range shortcuts (today, this month, quarters, year, etc.) where the picker appears. Columns are sortable and the footer handles pagination.

A drag handle column lets you reorder rows (for example to match how you want sequences numbered). Checkboxes select rows for batch work—on invoices, multi-select supports ZIP download of issued PDFs (drafts are skipped).

Drafts, issue, and issued documents

New documents start as drafts with a temporary id until you issue them. Issuing runs validation (client or supplier, company profile completeness, etc.) and opens a confirmation step; the app then assigns a real document number from the chosen sequence.

After issue, counterparty and company data are frozen in a snapshot—issued rows open in a view-style mode rather than full edit, and delete is disabled for those rows. Adjust later with status changes, void/cancel flows where supported, or a credit note instead of deleting history.

Invoices

Pick a client from Contacts (with address, tax ids, email as needed), set dates, payment method, currency / FX when used, and build line items from products with tax rules from Settings → Taxes.

Manage numbering sequences (prefix, year in the number or not, starting values) from the invoice workflow; issued PDFs can be downloaded per row. When Peppol is connected and the client’s VAT data qualifies, an extra action can send the issued invoice or credit note on the network.

Quotes

Quotes mirror invoices for building and previewing. For an issued quote that is not already converted, row actions include convert to invoice: pick an invoice sequence (or numbering without a named sequence), the app creates the invoice and marks the quote converted.

Purchase orders

Purchase orders use suppliers from your contact list the same way invoices use clients—lines, taxes, and previews follow the same patterns. After a PO is issued (no longer a draft), changing status to approved or received can open a dialog to create a draft expense in Expenses; the app links the expense to the PO in notes and can skip or reduce the amount if a matching expense already covers the total.

Credit notes

Credit notes reference the underlying invoice where applicable, carry reason / reference fields, and reuse the same issue, snapshot, PDF, and custom-upload behavior as invoices so adjustments stay auditable.

When Peppol is connected, you can also send an issued credit note on the network—the same way as invoices, when the client’s VAT details qualify.
